This Privacy Notice sets out the basis on which we use personal data in the course of our business activities. As a business which relies upon access to information about Candidates to meet our Clients’ requirements, data is essential to our business. Our systems and processes are designed to ensure that we provide the best possible service to our Clients while operating within the law and protecting individuals’ data privacy rights.


We reserve the right to update this Privacy Notice from time to time. Where appropriate, we will notify you of any material changes. You should also review our website periodically to ensure you understand how we use your personal data and your legal rights. Definitions used in this Privacy Notice are set out at the end of the document.


This Privacy Notice applies to any living, identifiable individuals whose personal data we may process in the course of our business activities, including Candidates, Client Contacts, Referees and Supplier Contacts. In some cases, you may fall into more than one of these categories.

Candidate personal data may be obtained directly where you have applied for a Client vacancy through us, uploaded your CV via our website, asked us to provide work-finding services, provided data via our social media pages, engaged with us at networking events, or discussed alternative employment opportunities with us. We may also obtain data indirectly from professional and social networking sites such as LinkedIn, Facebook or Twitter, job boards such as CV Library or Indeed, Clients (including feedback on applications, interviews or assignments), Referees, employer and industry websites, business information directories, industry databases such as the Construction Industry Training Board, and background checking services such as the Disclosure & Barring Service.


The types of personal data we may hold include contact details, gender, date of birth, nationality and residence, skills, experience, qualifications and training, right to work documentation, identity and address verification documents, employment details, remuneration and notice period, motivation for seeking new employment, CVs and application materials, interview details and Client feedback, and assignment and placement details. Where you provide services on a freelance basis, this may also include limited company details, work schedules, bank, tax and National Insurance details, and assignment feedback and performance information. We may also process special category data, including race or ethnicity, health information, and criminal convictions or offences.


We use Candidate personal data to assess suitability for roles, contact you about opportunities, introduce you to Clients, manage assignments and payments, carry out compliance and legal checks, prevent fraud and comply with legal obligations, produce anonymised statistics, and conduct equal opportunities monitoring.

Our primary lawful basis for processing Candidate data is legitimate interests, as maintaining a Candidate database is necessary to support your career development, meet Client recruitment needs, and operate our business effectively. We may also process personal data where necessary to perform a contract with you or to comply with legal obligations.

Sensitive personal data is processed only where necessary for employment purposes under Article 9(2)(b) of the UK GDPR and is handled strictly in accordance with our data protection policies. Equal opportunities data is anonymised.


We may share Candidate data with Clients and their recruitment partners, compliance auditors, contracting or umbrella companies, background checking services, industry bodies, suppliers and finance providers, and government authorities where required by law. Sensitive data is shared only where legally required or relevant, such as for health and safety or suitability purposes.


Client Contact personal data consists of contact and professional details obtained directly through our relationship with the Client or indirectly via public and professional sources. We do not process special category data relating to Client Contacts. We process this data under legitimate interests to understand Client requirements, deliver recruitment services, manage invoicing and credit control, provide industry insights, and comply with legal obligations. Limited data may be shared with Candidates or Suppliers where necessary for recruitment or legitimate business purposes.


Supplier Contact personal data consists of contact and role-related information obtained directly or from public and professional sources. We do not process special category data relating to Supplier Contacts. We process this data under legitimate interests to manage supplier relationships, services and billing, and to meet legal obligations. Supplier data may be shared with other Suppliers where necessary for legitimate business purposes.

Referee personal data consists of contact and professional details provided directly by you, by the Candidate, or from public sources. We do not process special category data relating to Referees. We process Referee data under legitimate interests to obtain and verify references required to meet contractual and legal obligations. References are shared with Clients, and contact details are shared only with your agreement. Data may also be shared with Suppliers for legitimate purposes.


Personal data is processed in the United Kingdom. Transfers outside the EEA will occur only where appropriate safeguards are in place, including adequacy decisions, standard contractual clauses, binding corporate rules, or your explicit consent.

When you use our website at www.psrsolutions.co.uk, we may collect your IP address and website usage data. Cookies are small text files stored on your device that help websites function effectively, remember preferences, analyse performance, and deliver relevant advertising. We retain personal data only for as long as necessary. Our standard retention period is four years from last contact. Where required for legal, audit or contractual reasons, data may be retained for up to seven years. In some cases, data may be anonymised and retained for statistical purposes.


You have the right to access, correct, erase, restrict or object to the processing of your personal data, and the right to data portability where applicable. For the purposes of this notice, a Candidate is an individual seeking or potentially suitable for engagement with a Client. A Client is a business engaging or potentially engaging our services. A Client Contact is an individual employed or engaged by a Client. Data Protection Legislation means the UK GDPR, the Data Protection Act 2018 and any successor legislation. A Referee is an individual providing a reference about a Candidate. A Supplier is a business providing services to us. A Supplier Contact is an individual employed or engaged by a Supplier.
